Administrative Assistant (20-30%)

The World Organisation Against Torture representation in Brussels is seeking to reinforce the overall management of its office. This part-time assignment can be an interesting opportunity for professionals or students looking at building up or expanding their portfolio of activities.

ABOUT THE OMCT

The OMCT works with around 200 member organisations which constitute its SOS-Torture Network, to end torture, fight impunity and protect human rights defenders worldwide. Together, we make up the largest global group actively standing up to torture in more than 75 countries. Helping local voices be heard, we support our vital partners in the field and provide direct assistance to victims. Our international secretariat is based in Geneva, with offices in Brussels and Tunis.

ROLE & RESPONSIBILITIES

The administration assistant is responsible for the overall administrative management of OMCT’s Brussels office. The assistant supports the Head of Operations by taking charge of all administrative matters, ensuring that the office can operate smoothly.

Main responsibilities

  • Support the OMCT Europe’s operations team and staff in administrative and logistical matters including: relationship and interactions with service providers and the landlord; purchase and management of equipment services and office supplies; handling of physical and electronic post; logistical support for visits and missions to Brussels (bookings, per diems etc), management of the inventory of the Brussels Office.
  • Provide support and assistance to the OMCT Europe accountant including with regards to the verification and entry to the OMCT financial software of payments by bank transfer and verification of office expenditures made by other means (credit card, etc.).
  • Support the further development and implementation of internal processes and policies with regards to administration management in the Brussels office.
  • Any additional responsibilities assigned to the person in addition to the above.


QUALIFICATIONS/REQUIREMENTS (Education and/or Work Experience)

  • At least 1 year of experience in a similar role as administration assistant (ideally in an NGO or small to medium-sized company).
  • Either relevant professional education and/or relevant experience in managing administrative tasks quite independently.
  • Good language skills in French and English, both written and spoken.
